We are the data controller for the personal data described in this policy.
What information we collect
We only collect the personal data we need to respond to your enquiries and deliver our services. Depending on how you interact with us, this may include:
- Contact and enquiry details — your name, email address, phone number and the content of any message you send us through our website contact form, by phone or by email.
- Customer and service data — if you become a client, we may hold business contact details, service and support history, and, where relevant to a repair or support request, limited information about the device or system we are working on.
- Technical data — standard web server logs (such as IP address, browser type and pages visited) generated automatically when you visit our website, used only for security and troubleshooting purposes.
We do not knowingly collect any special category data (such as health or financial information) unless you choose to share it with us as part of a support request, in which case we only use it for the purpose you provided it.
How we use your information
We use personal data for the following purposes:
- To respond to enquiries submitted through our website, by phone or by email
- To provide, manage and invoice for IT support and computer services
- To maintain the security and proper functioning of our systems and website
- To meet our legal and regulatory obligations, for example in relation to accounting records
We do not use your personal data for automated decision-making or profiling, and we do not sell or rent your data to third parties.
Our legal basis for processing
We rely on the following legal bases under UK GDPR:
- Consent — when you voluntarily submit the contact form or otherwise provide your details to us
- Contract — where processing is necessary to provide services you have asked us to deliver
- Legitimate interests — for keeping our website secure, preventing fraud and spam, and maintaining normal business records
- Legal obligation — where we are required to retain certain records, such as for tax purposes
Cookies
Our website uses only the minimum cookies necessary for it to function correctly — for example, remembering that you have closed a notice, or basic preferences during your visit. We do not currently use third-party advertising or analytics cookies. Most web browsers let you refuse or delete cookies through their settings; doing so should not affect your ability to browse the site, though some features may not work as intended.
Sharing your information
We do not sell your personal data. We only share it with trusted third parties where necessary to run our business, specifically:
- Akismet (Automattic Inc.) — used to check contact form submissions for spam. Message content and sender details may be processed by Akismet for this purpose. See Automattic’s privacy policy for details.
- IT and hosting providers — who host our website and email systems on our behalf, under appropriate data processing agreements
- Professional advisers — such as our accountant, where necessary for legal or regulatory reasons
We will only disclose personal data to other third parties where we are required to by law, or with your explicit consent.
How long we keep your data
We keep personal data only for as long as necessary for the purposes it was collected:
- General enquiries sent through our contact form are kept for as long as needed to respond, and are not retained beyond what is reasonably necessary afterwards
- Client and service records are retained for the duration of our business relationship and for a reasonable period afterwards, in line with our legal and accounting obligations
- Financial records are retained for the period required by UK tax law (currently six years)
Data security
We take appropriate technical and organisational measures to protect personal data against unauthorised access, loss, misuse or alteration, including secure hosting, access controls and encrypted connections (HTTPS) on our website. No method of transmission or storage is completely secure, but we work to protect your information to a high standard.
Your rights
Under UK data protection law, you have the right to:
- Request access to the personal data we hold about you
- Request correction of inaccurate or incomplete data
- Request erasure of your data, where applicable
- Request that we restrict or object to certain processing
- Request a copy of your data in a portable format
- Withdraw consent at any time, where processing is based on consent
To exercise any of these rights, please contact us at info@meridian-micro.com. We will respond within one month, as required by law.
If you are unhappy with how we have handled your personal data, you also have the right to complain to the UK’s data protection regulator, the Information Commissioner’s Office (ICO).
Children’s privacy
Our website and services are intended for businesses and adults. We do not knowingly collect personal data from children.
Changes to this policy
We may update this privacy policy from time to time to reflect changes in our practices or for legal reasons. Any changes will be posted on this page with an updated revision date below.
